Project Assistant
PIVOT Architecture works alongside community organizations to support career and technical education and workforce development through grant administration, program management, community workshops, event planning, and more. We’re looking for a Project Assistant to join our Advisory Services team and contribute to that work.
This is a role for someone who likes keeping things organized, communicates well, and takes satisfaction in helping a team run smoothly. If you enjoy being the person who keeps projects on track and people connected, we’d love to hear from you.
What You’ll Do
You’ll support project teams across a range of tasks — coordinating schedules, managing documentation, preparing for meetings, and tracking progress. More specifically:
- Coordinate meetings, draft agendas, and follow up on action items
- Develop and maintain project documentation, including schedules, reports, and meeting notes
- Track project milestones and keep project management tools up to date
- Communicate with internal teams and external partners to keep things moving
- Help plan and execute community programs, workshops, and events — handling logistics, preparing materials, and tracking deliverables
- Support project managers with budgeting, procurement, and resource coordination
- Help flag potential risks and contribute to working through them
What We’re Looking For
- Bachelor’s degree in Business Administration, Project Management, or a related field — or equivalent experience
- 1–3 years in a project support or administrative role
- Proficiency in Microsoft Office and familiarity with project management software
- Strong organizational and communication skills, written and verbal
- Comfortable working both independently and as part of a team
- PMP or CAPM certification is a plus

- Adaptability — flexible and able to adjust to shifting priorities and project needs

Starting compensation for this position ranges from $22 – $26 per hour, depending on experience.
